Responding to reviews once a quarter often leads to two mistakes: messages written in a hurry and customer issues never communicated to the team. Prepare the slot and access
Choose a responsible person and a relay person. They must have appropriate access to the establishment profile, know the customer contact channel and know when to request validation before a sensitive response. Look at the last three reviews on the same theme. If they report the same confusion, perhaps the site text or organization needs to change. Test the route on the phone. Information placed in a deep FAQ is not enough if the customer decides before reaching it.
Minutes 18 to 20: schedule follow-up
Verify that posted responses are visible and that those responsible for the cases have received the task. Note what remains open for the next slot.
