Clarify the statuses
For each quote, keep the reference, contact, date of sending, validity, amount, person responsible and last exchange. Use understandable statuses: draft, sent, to be clarified, revised, accepted, refused or closed. Each status must have a passage rule.
A client waiting for a fixed version is not simply “waiting”. If the tool does not distinguish this case, it will relaunch the old document. So clean the data before adding automation. A shared table may be sufficient to test the method.
Agree on the next step first
The best follow-up is often decided during the exchange: “I will call you back on Tuesday after your appointment” or “You confirm with me after receiving the measurements”. Enter this date. Automation mainly occurs when no steps have been agreed or to remind the manager of a task.

The sequence stops when the quote is accepted, rejected, expired according to your process, replaced, disputed or put on hold at the customer's request. An email response, a call or a meeting should be able to update the status. Designate the person responsible for this update.
Test difficult cases: acceptance the day before a shipment, duplicate contact, incorrect address, modification request, absence of the salesperson and customer who no longer wishes to be contacted. A reliable stop is worth more than a sophisticated scenario.
Connect tools in stages
